The following are host guidelines for the C.C.M.E.A. festival audition.
¬ Auditions will be held on the Wednesday before the Southeast District Senior audition.
¬ The
auditions begin at 3:00 PM with the host school being the first to audition.
¬ Festival managers will provide any music needed for the audition (sight reading, required piece, scales).
¬ Choral Manager will provide all necessary playback devices (CD players for solo, keyboard for sight-reading).
¬ Audition forms, directions, audition times and registration information will be handled by Joe Studley.
¬ It is customary to provide refreshments and hospitality room for the visiting chaperones and teachers.
¬ The audition host receives a stipend from the association. Check with the treasurer for the correct amount.
¬ Some hosts have provided food for purchase to the students. This is up to the discretion of the host school.
¬ Designated bus parking and directions to the registration table, if needed.
¬ Parking directions/information for the judges and managers.
¬ Low Brass Room (trombone, baritone, tuba, french horn)

The arrangement of the rooms should provide a moderately quiet audition space for the students and the judges.
The percussion room will need 3 timpani, crash cymbals, and a xylophone, vibe or marimba.
Separate warm-up areas should be provided for the vocalists, strings, and wind and percussion students.
Students will be needed to bring the score sheets to the tabulation room. Having one or two students for each three or four audition rooms seems to work well.
Have the judges keep a running list of which wind/percussion students might be a better fit for orchestra. This will be based on tone quality and range. Have the judges bring this list to the tabulation room, when they are done for the evening.
The association treasurer will pay the judges, on the night of the auditions
¬ Minimum of 8 parents to tabulate the results of the auditions
¬ Tabulation room (large enough to accommodate the computers, parents, managers, and runners)
¬ Tables and chairs arranged to accommodate the lap top computers supplied by Joe Studley
¬ Power strips and outlets for the computers
¬ Food for the tabulators (sandwiches or pizza with fruit, water, coffee, and soda)
I would suggest having more than eight parents and splitting their work hours, if possible. The tabulators will be working from 3:30 to approximately 9:30 PM and having two shifts works well.
Student bringing in the score sheets need to continually be checking with the adjudication rooms and bringing in score sheets. If you let a backlog occur, the tabulators will begin to run behind and the risk of error rises.
At the end of the evening the managers will arrive and begin the process of selecting the students for the ensembles. They will not be able to do this until all of the scores are tabulated. Joe will help to provide a master list of the scores by instrument will facilitate the correct placement.
Tabulators have been paid in the past but they have also donated their time. It is up to the manager and the parents as to the arrangements made. Check with the association for the appropriate stipend, if you elect to use this option

The registration table will collect all audition fees and medical/permission forms. They will direct the students and teachers to the warm up areas and inform them of the audition times and any changes to the schedule.
The student guides will accompany/lead the students to the audition areas at the correct time (they will need to monitor the individual rooms and work to prevent back-ups).
Following the check in of the last school to audition,
medical/permission forms will be collected and given to the festival host
(Barnstable H.S.).
