Additional large expenses for All-Cape Festival this year:

1.  Food at $4,804 up $2,000 from 2002  

2.  Nurse fee $240 (12 hours @$20/hr) up $90 from 2002

 

Less expense for All-Cape Festival this year:

1.  Two guest conductor's did not need housing.

 

Nantucket's audtion fee PO is still outstanding. Both All-Cape and the Jazz Festivals ran deficits this year.  All-Cape $1500 and Jazz $600.

JAZZ FESTIVAL REPORT: Ned Rosenblatt is out of town.  Bob Frazier was asked by John New to give a report as attendee: Ned did a tremendous job.  The concert moved along well.  Bob is very proud of the educational quality exhibited by all rather than egos..

 

JR. FESTIVAL REPORTS: 

 

Norma Kelley:  String Jamboree was successful.  Concern was voiced over high custodial fee for 6 hours.  It was felt that cleanup should not have taken 6 hours, but 3 realistically.  Parents are needed earlier to collect fees prior to the concert.  Performance level was great.

 

LaVada Studley:  Mariellen Sears works so hard and did a super job for the Jazz Festival .  The audience was great and the students felt good about all.

 

MANAGER'S REPORTS:

 

Orchestra/Stacey Faris and Norma Kelley:  Walter Pavarsaris will be the conductor. He is excited to be invited.

 

Chorus/Linda Weissenberger and Chris Roberts:  Chris will become manager with Linda and Marcia Wytrwal assisting.  Chris is trying to contact Simon Carrington who is now at New England Conservatory.

 

Band/Alex Pendleton and Tom Borning:  Alex has two conductors in mind.  TBA

 

Jazz:  Postponed till Sept. meeting

 

FESTIVAL ISSUES:

Registration:

Thank you to Joe Studley for the excellent registration process.

            OCTOBER 1: REGISTRATION BEGINS

            NOVEMBER 14: REGISTRATION CLOSES

 

Fees: Discussion regarding festival short falls and whether or not fees should be raised.  Auditions expense runs $1500, but brings in $2300.  Audtion fees should not then be raised.  It was suggested that rather than raising fees we would not provide Friday and Saturday lunch.  *This issue will be voted on at the September meeting.*

 

Jazz Festival Fees:  The issue was raised that the Jazz Festival continues to run a deficit and serves fewer students.  John New suggested we subsidize the festival $300 rather than the current $600.  Should the conductor receive less?  This is a two day festival and the conductor is currently receiving the same as conductors which do the 3 day All-Cape Festival.  Should the host fee be reduced? 

*To be voted on at September meeting to make the festival more self sufficient*:  1.  Reduce Director's stipend since two day festival and 25-30 students compared to over 100 in other festival ensembles.  2. Raise ticket price to $8.00

 

Hosts:  Hosts are needed for 2004 and 2005 audtions.  *This will be discussed at the September meeting.*

 

Audition Pieces:  These are to be published on the web site.  There is currently difficulty purchasing the Junior District Bass piece.  It was suggested to try www.sheetmusicplus.com although some have had a wait time of up to 3-5 weeks.  The new Senior District percussion requirement was discussed.  *The September meeting will revisit the 3 minute audition solo for multiple percussion as required in the Junior District audition.*

 

Instrumentation:  All managers are reminded that there is no instrumental sharing.  Any ensembles requiring percussion, etc. will need to make that need known so that a specific person will be selected at the Auditions.

 

Sightsing:  The sightreading component for the chorus audition remains as is.  (See February minutes)

 

Judges:  New names were suggested for additional audition judges:

 

            Strings:  Kim Brayton, Sean Verfaille, Richard Burton

            Flute:     Sally Davol

            Voice:    Tom Vasil, Judson Graham, Donna Prypin, Ruthann Hellfach, Helene Guillet-Smith

It was requested that there be two judges in each vocal room as there are in the instrumental rooms.

Discussion followed.  No change was made.

 

Choral Rehearsal Tapes:  Managers are asked to ask the Director if any recordings of pieces selected would be available as rehearsal tapes.

 

Publicity:  All members are asked to time the press releases announcing students that made All-Cape to the month of December so that the concert could be plugged. Managers and school members are asked to send releases regarding the concert to their local papers and church directors as many of those choristers may wish to attend.

 

Festival Rules:  Managers are requested to announce dress codes early.  Ideally this dress code should go out in the managers packets.  A motion was made for the following dress code:

 

            Black and White Only:  Solid White Shirts

                                                Men long ties, no bow ties

                                                Black to the Shoe (pants, or skirt to floor, or  skirt with black tights)

Attendance:  Managers should take attendance at all rehearsals during the festival.  This attendance list must be produced at the Saturday meeting of the festival. *All Directors are asked to submit names of any students not allowed to audition to the Managers at the September meeting.*

 

Transportation and other Director Expenses:  It is the Manager's choice who is chosen for the best educational experience at the festival, however consideration must be made regarding transportation expense.  The example was given that last year's Band Director had airline expense but John New housed him to save the festival money.  The Director's stipend for all ensembles is $600.  Housing and meals are set by the host.

There was discussion regarding managers running the Thursday evening rehearsals to lower the Guest Director's stipend and housing costs.  All directors should be either two days or three days, no difference between ensembles. No change made.

NEW BUSINESS:

Cape and Islands Chorus Directors:

 

            We, the Sturgis Charter School Madrigal Singers, would like to propose an All Cape and Islands High School Chorus Festival.  The goal of this festival would be to bring together as many choruses from across the Cape and Islands as possible, for a day of singing learning and just plain fun.

            Ideally, we would like to plan this for the March/April chorus season, as it tends  to be a more flexible time for people's schedules.  Further, the day would consist of vocal workshops,chorus adjudication, possibly a "director swap" and hopefully an evening performance for family and friends.  The concert may consist of each chorus singing a few numbers of their choice and hopefully a finale of all of the choruses singing one number together.

            We understand that there would be certain financial requirements.  We, as the Sturgis Madrigal Singers would be responsible for fees to secure the venue.  The participating schools would be only responsible for transportation and lunch.

            A proposed location that is currently being looked into is the Cape Cod Community College.  We have contacted the music director at the school and have discussed our idea of this event.  Any further planning, however, will rely solely on the response we receive from Cape and Islands Chorus Directors.

Members present suggested it be held on a school day rather than a weekend.  John New suggested the event be limited to five schools, all five listen while each group is critiqued by an evaluator and then one finale number would be conducted by the evaluator.  A motion was made to give these students the go ahead.  MSP

 

2.  Norma Kelley has agreed to become Treasurer.  MSP

Allison Beavan's term as Secretary  has ended.  Patti Anderson's name was brought to the meeting as someone willing to replace her.  Bob Frazier agreed to take minutes should she decline.  *This will be determined at the September meeting.* 

 

3. *The question of taped vocal audtions will be revisited at the September meeting*  Discussion regarding this issue recognizes the possibility of sports participants scheduling their audtion late enough to attend practice after school.  Nantucket and Martha's Vineyard do not have this option. It was suggested that if unable to schedule an audition that all students have the option of a taped audition.  It was also suggested that in the past judges were sent to the islands and that this would be a possibility or the taped auditions could remain.

 

4.  MSP:  By-law revisions as printed below:

 

            Article II, Section 2.A.  Present an annual music festival on Cape Cod and/or Islands for selected students of Cape Cod and Islands public and private high schools which shall:

 

            Article 2. B.  Add article to define the eligibility of students in the festivals.  i.e. Students must be a member in good standing of a performing group of a public or private school located on Cape Cod and/or Islands.

 

            Article IV, Section 1.  private and public

 

            Article IV,Section5.  Change to read officers shall be elected every 2 years at the annual lFebruary meeting.  Standing committee members shall be elected annually at the annual February meeting.

 

            Article V, Section 1. B.  Deleted.

 

            Article V, Section 2. A. 111.  The audtion host shall be responsible for arranging for successful audtions for the concert festival.  All arrangements for the audtions are his/her responsibility.

 

            Article V, Section 2. A.  HIGH SCHOOL COMMITTEE.  This committee shall be comprised of a host chairperson, a band manager, orchestra manager, chorus manager and jazz festival manager.

 

            Article V, Section 2. A.  Add the position of Website/Audtion Coordinator

 

            Article VI, Section 1.  Meetings shall be held three times a year.  One meeting shall be in September, one shall be in February on the Saturday of the festival, which shall be called the annual meeting, and one shall be in June.  Officers and standing committee members will be elected at the annual meeting in February.  New officers and standing committee members will assumetheir responsibilities on August first following the election in February.

 

            Article VII, Section I.  Change last sentence to: regular meetings are the scheduled 3 meetings in September, February and June.
